2 Information on the processing of your personal data as part of your job application
2.1 Registering an applicant account
In order to be able to apply for a vacancy with us, you must first register an applicant account. To open such an account, you must provide various data, such as your e-mail address, preferred password, first and last name, in the input screen. We need this information to provide you with password-protected access to your applicant data stored by us and to process your application.
You also have the option of registering with our "Talent Network". By registering, you will receive information from us about job offers and events that match your interests. If you no longer wish to receive such information, you can withdraw your consent at any time, for example by clicking the unsubscribe button at the end of each e-mail message.
Our applicant portal is provided by SuccessFactors, a service of SAP America Inc., based in the USA, or, if you usual domicile is in the European Economic Area (EEA) or Switzerland, SAP SE, which is based in Germany (“SAP”).
Accordingly, the information you provide and any application documents will be stored on servers belonging to SAP. In order to ensure the security of your personal data, we have concluded an order processing agreement with SAP. In it, SAP promises that, in the event that your personal data is transferred to a country without an adequate level of data protection (e.g. the USA), it will ensure an adequate level of data protection based on EU standard contractual provisions.
You can delete your account and the applicant data stored in it at any time using the corresponding button within your account. Please note that this will permanently delete your account, remove all your information and withdraw your candidacy for any positions you have applied for.
Further information on data protection and data security at SAP can be found in the SAP Trust Center.
2.2 How your application data will be processed
If you apply for a position with us, we process the personal data that we receive from you as part of the application process or that you upload to the application portal. In addition to your personal details, and information about your education, work experience and skills, this includes the usual correspondence data, such as your postal address, e-mail address and telephone number. In addition, all documents submitted by you in connection with the application, such as a cover letter/personal statement, curriculum vitae and certificates will be processed. In addition, you can provide us with additional information on a voluntary basis.
We may also process information from third parties, such as information from official registers (e.g. credit or criminal records), references from previous employers, or other information and data from public and professional networks. If you provide us with data relating to other people (e.g. referees), you should only provide us with this data if you have permission to do so and if this data is correct.
We also process information that is transmitted or generated as part of the selection process, for example from interviews or assessments (e.g. relating to aptitude or test results). If interviews are conducted by telephone or video conference, these conversations may be recorded, provided you have consented to this.
This data will only be only stored, evaluated, processed or forwarded internally as part of your application. It may also be processed for statistical purposes (e.g. reporting). In this case it is not possible to draw conclusions about individuals.
Your application data will be processed to fulfil our (pre)contractual obligations as part of the application process.
You can revoke you consent to data processing at any time and withdraw your application. To do this, use the corresponding functions of our application portal or send your notice of withdrawal to the e-mail address specified in Section 1.1.
If we conclude an employment contract with you, the data supplied will be stored for the purpose of processing the employment relationship in compliance with legal provisions.
If the application process does not end in your employment, your personal data will be stored for another 6 months for documentation purposes and will then be deleted unless you have given your consent for us to use your details for further applications with our company (applicant pool). Of course, you have the option of withdrawing this consent at any time. You can send your notice of withdrawal to the e-mail address mentioned in Section 1.1 or use the corresponding functions in the applicant portal.
3 Your rights
In principle, you have access, rectification, deletion, restriction and portability rights and can veto processing and withdraw your consent with regard to your personal data.
Please note, however, that we reserve the right to enforce the restrictions imposed by law, for example if we are obliged to retain or process certain data, have an overriding interest in doing so (insofar as we are entitled to rely on this) or need it to assert claims.
If you believe that the processing of your personal data is in breach of data protection law, or your data protection rights have been breached in some other way, you can also complain to the responsible supervisory authority. The relevant body in Switzerland is the Federal Data Protection and Information Commissioner.
The exercise of your data protection rights usually requires you to clearly prove your identity (for example by means of a copy of your ID if your identity is otherwise not unclear or cannot be verified). To assert your rights, please contact us by e-mail at the e-mail address indicated in Section 1.1.
